Her er Teknisk informasjon. Les om PDA bruk her.

  • Du KAN lage oppføringer i Gruppekalenderen direkte.
  • Databasen vil inneholde all kalenderinformasjon for alle brukere.
  • Du trenger ikke å synkronisere for å se dine egne avtaler i GruppeKalender mappen i Outlook, synkronisering brukes bare for å vise deg avtaler for andre brukere.

start

We have a secretary that does not want her appointments to show in the GroupCalendar, however, she has to create appointments for other people.

·         There is a setting for that since version 1.6.57

o    Open Settings - Userinfo

o    Check the "don't participate" box

start

We don't want anything to show in the GroupCalendar unless we choose for it.

·         Install version 'SetupUKDA'

·         Open Settings - Userinfo

·         Check the "don't participate" box and your private calendar will not be monitored.

·         If you want an item to show in the GroupCalendar:

o    Create a new appointment in the GroupCalendar

o    Answer YES to the question "is this an appointment for another user?"

o    Select your own name in the userlist.

start

"what do I need to install GroupCalendar"

  • Office 2000 sr1 or higher
  • MS Access or  DAO + JET
  • Windows scripting host is also needed but most systems have this already.  WSH is installed if you choose a standard installation of the win98 sr2 operating system or higher, or if you install Internet Explorer 5, or if you download WSH from Microsoft.

If you don't check these components on your system, all might still be working ok. On the other hand you might run in to errors and an internet browser may open to lead you to the correct download for your system.

You need administrator rights on the pc to install GroupCalendar

start

It calls me "unknown"/"Empty" and does not show my name in the delegate access list.

GroupCalendar needs an email in the inbox or sent items folder of Outlook to understand who you are. It reads your name from the emails you sent.

So if you never send an email it will not know your name. However Outlook can import email you have sent with Outlook Express if this is what you use and that will fix your problem.

Do this in Outlook:

  • Menu 'File' - 'Import and Export' - 'Import internet mail and addresses'
  • Select outlook express
  • Select mail
  • Press next.

It will import your email and you now have sent items in Outlook 2000. Restart Outlook 2000 and get a welcome screen, displaying your new name.

"Do I need to do anything to get my GroupCalendar folder in sync?"

  • No. Just set the autosync tool to start automatically by clicking the checkbox under the {Sync. GroupCalendar} button and it will start in the system tray next to the clock when you start Outlook. Even better, if you use Exchange server and choose a public folder as a Groupcalendar folder you don't have to sync at all. Everything will be up to date in real time.

start

"I like it but I need / want / wonder why.... "

  • Send an email to info@opusflow.nl . We love to hear from you! (Even if you just want to tell us that it works great.)

start

"Can I have private or hidden appointments ?."

  • Yes, if you check the "private" box at the bottom right of the 'new appointment' screen, it will show up in the GroupCalendar with your name in it but without any details. This way people know that you are not available but won't know why.
  • However If you type  @@@  in the body of the appointment, it will not be visible at all in the GroupCalendar
  • A third method is to create an extra calendar folder under your default Outlook Calendar and use that for your super private items. Use the standard folder for your business items and vacation requests. (your manager can edit these and approve or reject them by editing the subject of your request. you will then get a notification of the change)

start

"The button 'X' is not working anymore"

  • Close Outlook – ensure it is completely closed by ctrl-alt-del, Task Manager, and checking the processes tab , restart Outlook.
  • When running Outlook XP or 2003 also check the best hidden option in Outlook:  Help - About - Disabled items. If you see a GroupCalendar entry there, remove it from the list.

start

"How do I use it with Exchange Server?"

  • Please have a look at the server product first. It might be exactly what you need.
  • In the Outlook folder list, go to Public Folders
  • Create a new Folder, set it to hold calendar items
  • Set the permissions of role 'Default' to Author
  • On every Outlook client, run the setup
  • Under the button Settings, button Select Group Calendar, browse to the Public Folder you created and select it.
  • Under the button Settings, button Select Database, navigate to the share on which you placed the Group Calendar.mdb file and select it.
  • You don't have to enable the systray Autosync tool. The Public Folder will be up to date in real time.

start

"How do I use it without Exchange Server?"

  • In the Outlook folder list you already have a sub folder named Group Calendar.
  • Under the button Settings, button Select Database, navigate to the share on which you placed the Group Calendar.mdb file and select it.
  • You will have to enable the systray Autosync tool. It is under button Sync Group Calendar, check the option "Launch auto-sync on start-up"
  • No other actions are needed.

start

"I am not technical, but can you explain how it works?"

  • When you install GroupCalendar, a piece of software is added to Outlook.
  • This add-in monitors your own calendar and waits for some activity.
  • When you schedule something in your calendar it makes a note of it in a database and replicates it in a subfolder within your own calendar, or in a shared exchange public folder.
  • It does this for all users that have the same database in their settings.
  • All actions performed by users with the GroupCalendar add-in are actioned in  their own Outlook calendar and written to a shared database.
  • When a user manually synchronizes OR when the autosync tray application runs, all records  in the shared database are translated back to appointments in the GroupCalendar folder of that user.
  • If you use Exchange server with a public folder manual synchronization  or running the autosync tool is not necessary but, when every user has a private GroupCalendar folder then they will have to perform a manual sync or use the auto sync tool.
  • If you leave the office with the lapstart, it remembers all activity while off-line until you have a connection again.

start

"Your software sends an email why?, when? to whom?"

  • Group Calendar sends us a email:
    • When it is installed
    • When a new user uses the database for the first time
    • When an error occurs

  • The email contains the following information:
    • GroupCalendar version
    • Your e-mail address
    • Your Office version and service pack
    • Your MS access db engine version (if any)
    • Your DAO version
    • Your Operating system version and service pack

In case of an error

    •  Description of the error
  • This information is used only to support in a pro-active way. You might even get a solution to an error before you ask for it. We may inform you of a new version with more functionality. We will never share or sell any information about your email address or software versions with anyone in any way.

start

"Can I make an appointment in the calendar of another user ?"

  • Yes you can. Since version 1.6.42.
There are 3 versions of the setup; the one you need to create or edit appointments is
    SetupUKDA .
Make sure you have administrator rights on your pc and outlook is closed (also in ctr-alt-del, task manager, processes).
To create a appointment for another user, create it in the GC folder. It will ask you after completion for whom the appointment was made.
It goes into the database and when the other user synchronizes, it enters into his/her private calendar.
To edit an existing appointment click the pencil button and then edit the appointment of your colleague in the GC folder.

start

"Is there a way to mass configure the software to point to the network share and Group Calendar, so that I can set it up and just have my users go to the network and get the software?"

  • When you use an exchange server, yes. Configure one client to point to the public folder and shared database.
  • Copy a "Group Calendar.ini" file to a shared location
  • Modify your login script so the shared ini-file overwrites the local ini file on the clients.

e.g. :  Copy \\yourserver\yourshare\Group Calendar.ini  c:\Program Files\Group Calendar\Group Calendar.ini /Y

start

"I get an error when I try to sync my GroupCalendar or when the autosync tool starts a synchronization and don't use a exchange public folder as group calendar"

  • When you use the same pc with different users please select the right (sub) folder in: Settings, select Group Calendar. It still points to the Outlook subfolder of the other user on your pc.
  • In general, if you get an error it's always a good idea to check and re-select your folders and database.

start

"Can I import my existing appointments?"

  • Yes. Get the small import utility here. Or simply close Outlook and delete your name from the database table 'TB_Users'. It will offer you to import the next time you start Outlook.

start

"We use Exchange server and don't want the users to enable the GCSystray.exe or synchronize manually"

start

"I attempted to uninstall the demo, through the normal windows "add / remove programs" in the control panel of settings, it didn't work!"

You might have had Outlook running in the background processes.
To remove all remains:

  • Press CTRL-ALT-DEL Taskmanager to sstart GCHELPER.

In Outlook

  • Go to Tools, Options, Other, Advanced, Com add-ins
  • Select GroupCalendar and click the button "Remove"

If any buttons remain in outlook:

  • Right-click on the button you want to remove and choose the last option in the pop-up menu (adjust)
  • Right-click again on the button and choose the second option: "delete"

You can also remove the "c:\program files\Group Calendar" folder.

start

"We installed it but it does not seem to work, please help"

- Close Outlook and check it is not running by ctrl-alt-del - taskmanager - services.
- Also close gchelper if it is running.
- Delete the folder c:\program files\Group calendar
- Install the product again
- Start Outlook and don't change any settings
- Check if you have a subfolder GroupCalendar under your private calendar
- Make a new appointment in your personal Calendar
- Check that it shows up in the GroupCalendar sub folder
- Create a Public Folder on Exchange Server of type Calendar
- Give everyone at least Author rights on the folder
- In your GroupCalendar settings select the public folder
- Create a test appointment and check that it shows in the public folder
- Go to a network share where everyone has all rights
- Copy the Group Calendar.mdb database to that network share
- Adjust your group calendar settings in outlook to reflect the new database location (browse to the share and select the database)

If this works, adjust the settings for the other users in their GroupCalendar settings.
After this you can give every user a department setting to use in filters and views for the public folder.

Stil no good? Try again with this manual or contact us.

start

Does GroupCalendar offer any different views for the Calendar?  We need one to be able to .....

  • Try: view, current view, define view, new, TESTVIEW, timeline
  • You can use the {filter} option to define "Betty is in subject" and define other views for Jim, Susan and the rest. (Adjust the filter then ;) )
  • If you enable View, toolbars, advanced, you can switch easy between views. Play with it a bit, views are very powerful.
  • Remember that when you fill the "department" property in the database with keywords, you can use those keywords in your Outlook view to filter or group by the newly added department field.

I work off-line from the Exchange Server and the network. I dial in now and then and sync all folders.
How do I use
GroupCalendar then?

Make sure that you connect yourself. Don't let Outlook initiate the connection. If GroupCalendar sees the central database again it will start to sync your offline changes automatically.

start

We do not have an Exchange Server and work off-line from the network where the shared Access database resides.  We dial in now and then.  How do we use GroupCalendar then?

Connect to the shared database when dialed-in with the "select database" button. If the connection is broken GC will automatically use a local cache.

Troubleshooting

  1. A general troubleshooting trick is to close outlook and check ctr-alt-del : services. close outlook.exe if still running.
    Restart Outlook.
  2. If this does not work, close Outlook again and check ctr-alt-del: services. close outlook.exe there too if still running.
delete the 'Your Name'.ini file from c:\program files\group calendar and start outlook.
With the settings button you can adjust the defaults to the shared locations/folders
  3. If that still does not work and you use outlook XP
check Help, about, disabled add-ins. Maybe the add-in was disabled by Outlook, and you can enable it there.
  4. If that is not the case check Tools, Options, Other, Advanced, Com add-ins and see if it is in the list and enabled.
If it is not enabled, enable it and press OK once. Open the dialog again and check if Outlook accepted that.
  5. If that is not the case, remove the addin from the "com add-ins" dialog and close Outlook. Reinstall the setup.
  6. If it still does not work log in as administrator and run setup again.

If that still does not work disable the other add-ins first and try again. If you use a PDA, disconnect it

I want to start all over again, clean everything and start fresh

I don't have an Exchange server public folder as GroupCalendar

  • Delete your local Outlook GroupCalendar subfolder, empty the recycle bin.
  • Sstart Outlook
  • Delete the GroupCalendar.ini from c:\program files\Group Calendar
  • Delete the GroupCalendar.mdb from c:\program files\Group Calendar
  • Run the GroupCalendar installation program
  • Start Outlook. (the group calendar subfolder is created again)
  • Copy the new, clean Group Calendar.mdb from c:\program files\Group Calendar to the network share
  • Connect to the (empty) database on the network (with the [settings] - button in the toolbar)

I do have a Exchange server public folder as Group Calendar

  • Browse to the public GroupCalendar folder in Outlook
  • Select View - Current view - By category
  • Delete all appointments
  • Sstart Outlook
  • Delete the GroupCalendar.ini from c:\program files\Group Calendar
  • Delete the GroupCalendar.mdb from c:\program files\Group Calendar
  • Run the GroupCalendar setup program
  • Start Outlook. (the Goup Calendar subfolder is created again)
  • Copy the new, clean GroupCalendar.mdb from c:\program files\Group Calendar to the network share
  • Connect to the (empty) database on the network (with the [settings] - button in the toolbar)
  • Run the gcimport.exe tool
  • Things you might want to, but should not, do:

- Remove all record of any table in the database. Use a clean one from the setup instead.

- Remove a public folder create a new one and start importing right away. (On a new public folder, first create at least one   item in a GC monitored personal calendar of a folder owner )

Can I be a member of  two or more GroupCalendars ?

"I am curious if it is possible to have more then 1 calendar?  For instance, could we have one scheduling calendar, one calendar for checking out hardware and one calendar for signing out the conference room?  We need more then one calendar."

Answer

Yes and no. You can not have seperated calendar folders and connect to them at the same time. But the workaround might suit your needs better.

Using the view capabilities in Outlook you can create views and filters in outlook very easily. On the website you can find an example that creates a view for groups of people but you can also create a view for a specific code in the subject.

So you basically have all appointments in one calendar but using the views and filters it's like having 3 different folders.

In your case you could all use the code $CR1$ if the appointment subject is for the conference room (or #cr1# or even apple99 if you like) as long as you all use that code and you create a filter the shows only appointments with $CR1$ in the subject you will have your conference room schedule(s)

I use a lapstart and I am not connected to the network all the time.

No problem. GC takes care of everything.

start

The public calendar in Exchange server shows my appointments but when I change or delete one, that is not updated in the Exchange public folder.

  • For the public calendar to be in sync with the personal calendars of all users it is VITAL that one of the owners of the public calendar folder makes at least one appointment in their personal calendar while the Groupcalendar program is monitoring their personal calendar.
  • The GroupCalendar program will add a few fields to the public calendar folder that it needs to keep appointments in sync., but it can only do that if it is used at least once by someone who has owner permissions.
  • Be aware that when an Exchange Server administrator changes Exchange Server permissions so that you become owner, those changes can take a long time to become effective. It might even be needed to restart the Exchange Server directory service for the permission change to become effective.

start

I have a number of users connected to my Exchange server permanently, and I have a few mostly travelling. The travelling users connect over VPN or come in now and then. How do I set it up ??

  • First of all: send us an email for support on this one if you don't get it up and running in 15 minutes. (or call!)

  • Create a public folder of type calendar, Rights;  you as an owner, others as an editor
  • Install SetupUKEx on your pc and select the public folder as your GroupCalendar
  • Copy the GroupCalendar database to a read/write share on your network
  • Select the database in your settings.
  • Create your first appointment in your calendar
  • Check if it goes into the Public Folder
  • Delete it from your Calendar and check if it deletes as well from the public calendar
  • If all works OK install all other users with a permanent connection to the exchange server. (all with SetupUKEx ! )

For the lapstart users do the following:

  • Install SetupUK.exe on those lapstarts
  • Create a personal store on the lapstart and move the GroupCalendar folder that the setup created for you into the PST
  • In the settings of GroupCalendar, select the central database on your network
  • Don't forget to select the GroupCalendar folder in the PST-file as the GroupCalendar for those lapstart users.
  • Enable the autosync tool on the lapstart (it's a checkbox under the synchronize button)

Now you need ONE pc on your network (or a server with it on) where you start the autosync tool that you can find in
c:\program files\Group Calendar.  This gcsystray.exe is installed with the setupUKEx but normally not in use for that version.
It is important to have the synctool running all day. Every 30 minutes would be fine.
The sync tool makes sure that appointments, created by the lapstart users will appear in the public folder you use with your permanently connected exchange users.

start

I run Outlook XP and the buttons on the toolbar don't work anymore and it not longer syncs.

  • Try: Shut down the pc and reboot

If still no good

  • Start Outlook
  • choose Help, About Microsoft Outlook, and then click Disabled Items.
  • To enable GroupCalendar, select the item and click Enable.

If still no good

  • check Tools - Options - Other - Advanced options - Com add-ins
  • check if GroupCalendar is in the list and the checkbox is checked
  • If it is not checked, check it

If it's not in the list

  • Add button
  • Browse to C:\Program files\Group Calendar
  • Select GroupCalendar.dll

if still no good

  • Install the setup again but make sure you have administrator rights.

The calendar does not sync.

  • Open the Group Calendar folder in Outlook
  • Select: Outlook menu View - Current view - By category
  • Select the grey header and press delete (delete all from the GC folder)
  • Press the button [Sync group calendar] - [Synchronize] to refill the folder again.
  • While you are in the same form, check the box  "Launch autosync at Outlook startup"

I can not find a way to send reminders to a person or persons regarding appointments that were entered on their calendar. Is there a way to do this in Outlook Group Calendar?

·         If you install SetupUKDA.exe you have the ability to add and edit appointments in the GroupCalendar including items for others then yourself.
If you create a new item in the GroupCalendar it will ask you "is this for another user?" if you answer Yes, you will get a list of all users and can select one or more of those.
The appointment will wait in the database for the other user(s) to synchronize their calendar and when they do, the appointment will be placed in their personal calendar. Also a box will pop-up informing the user of the new appointment in their calendar.

Because the item is now in the personal calendar, the normal outlook calendar reminders will apply to it.

I get network errors... "database not found" and alike.

  • When using windows XP professional try to change the 'Fast Logon Optimization Feature' as described in  http://support.microsoft.com/kb/q305293/
  • When mapping a drive letter to the shared database folder on the server in a logon script, remove the drive letter first and then remap it in the login script like:

 net use x: /d

        net use x: \\servername\sharename

  • Alternatively change the way you start Outlook by creating a batch file with this content:

          net use x: /d
        net use x: \\servername\sharename
          outlook.exe

this will remove and recreate the drive mapping to the shared folder where the groupcalendar database is being shared.
